Property Management of Hayward – Rental Policies
Reservations
To reserve a vacation home, we require a deposit of 1/2 the rent + $75.00 booking fee. We accept all major credit cards and checks. Once the deposit is received, a contract will be emailed for your signature. The remainder of rent + sales tax is due 21 days prior to your arrival. We also require credit card information 21 days prior to your arrival for the security deposit. If you reserve a cabin within 4 weeks of arrival, we do require payment in full at time of reservation. Once final payment is made & signed rental agreement returned, guests will be emailed directions to the cabin and lock box combination to access keys.
Security Deposit
A security deposit is a hold on your credit card during your stay to cover any damages that may occur by the renter or renter’s guests. We run a credit card as a pre-authorization for a minimum of $500 on stays less than 1 week and for 1/2 the rent on 1 week + stays. This is processed on your credit card the day of arrival and held until the property has been inspected after your departure. If no damage occurs during your stay, we release the hold. If damage is found, you will be notified prior to any charges made on your credit card.
Cancellation Policy
If cancellation is made at least 30 days prior to the arrival date, we will refund the reservation deposit, minus a $100 cancellation fee + $75.00 non-refundable booking fee. If the cancellation is made within 30 days of the arrival date and we are able to re-book the property, we will refund the reservation deposit minus a $100 cancellation fee + $75.00 non-refundable booking fee. If we are unable to re-book the property within the 30-day period, the entire reservation deposit will be forfeited.
Check-in/Check-out
Check-in time is 4:00 pm, unless renter is notified by PMH that property is available for an earlier check-in time. Check-out time is 9:00 am. Strict adherence to these times is necessary to assure proper clean-up. If check-out time is not observed, a late departure charge may apply. Early check-in and late check-out requests cannot be guaranteed.
Amenities
All of our properties are fully furnished with fully equipped kitchens. All bed linens are provided, which include sheets, pillows and blankets. Cabins will be stocked with paper towel, toilet paper, dish soap, dishwasher detergent & trash bags. If more supplies are needed during your stay, it is then up to the guests to purchase. All properties have their own dock, fire pit area and grill (gas or charcoal depending on cabin owner preference). We do ask all our guests to bring their own kitchen, bath & swimming towels, personal laundry & bath soaps & life jackets (if watercraft is provided). You may also want to bring your own comfy lawn chairs. If a gas grill is provided, it is the guests responsibility to fill or exchange the propane tank. Internet, phone and TV services are provided at most of our properties. However, we cannot guarantee that these services will be available during your stay due to the remote nature of our properties and the time required to restore these services by the providers. Storms occasionally take out services due to winds, snow and fallen trees. Cell service does not exist at all of our properties due to the rural and remote nature of the area. We will do our best to re-establish services when they fail. However, we will not provide reimbursement for the lack of internet, TV, phone and cell service.
Seasons and Rates
Peak season is the months of June, July & August. Peak rates apply at this time with a minimum stay of 1 week. The rest of the season is considered off-peak season. Off-Peak rates apply at this time with a minimum stay of 2-3 nights, depending on the property.
Minimum Stays
During the peak season, we require a minimum stay of 1 week in all our properties. During the off-peak season, we require a 2-3 night minimum stay, depending on the property you choose. Reservations that are less than 3 nights are charged an additional cleaning fee. The cleaning fee varies depending on the property rented.
Additional Guests
Each property is priced at a base rate per number of guests. Some properties can sleep additional guests for an additional charge. There is no additional charge for children 3 years of age or younger. Additional guests 4 years of age and over are an additional $25/per night or $175/per week + sales tax. We require additional guests to be disclosed on the rental agreement. Failure to disclose an accurate guest count or the presence of unregistered guests could result in forfeiture of security deposit.
Pet Policy
We have several properties that will allow your pets for an additional fee. The cost is $105.00/per week or $15.00/per night, per pet. We do not allow cats in any of our properties. Please take a look at our pet friendly properties and additional information on our pet rules. Additional refundable deposits may be required. Evidence of a pet found in a non-pet friendly property, will result in violation of rental agreement and forfeiture of security deposit.
Minimum Age
NO RENTALS will be permitted to ANYONE UNDER 21 YEARS OF AGE.
No Smoking
All of our properties are NON-SMOKING. We ask that if you smoke, please smoke outside of the cabin and properly dispose of cigarette butts. Smoking indoors will result in violation of rental agreement and forfeiture of security deposit.
Events/Parties
Renters and guests shall not have parties or events at the property without obtaining prior manager approval and payment of additional fees. This includes weddings, cocktail parties, receptions, welcoming events, family reunions, anniversaries and milestone birthday parties. Some properties do not allow events of any kind.
